Minutes of the WINCOM annual meeting of the steering committee

On the final day of the 7th edition of the WINCOM Conference, the Steering Committee convened to review the outcomes of the current edition and to discuss certain policy matters. The committee unanimously decided the following:

Policies on Diversity, Ethics, and Integrity

The WINCOM conference is strongly committed to upholding high standards of diversity, ethics, and academic integrity. While a dedicated formal policy document is currently under development, the following guiding principles are already actively implemented:

  • Diversity and Inclusion:

      • WINCOM promotes diversity and inclusion at all levels, including in the selection of keynote speakers, TPC members, reviewers, and session chairs. We strive to ensure representation across gender, geography, and underrepresented groups in science and engineering. The Steering Committee actively considers diversity in all appointments and invitations.

  • Ethical Conduct:

    • WINCOM follows standard academic and professional ethics guidelines, including those established by IEEE and ACM. All submitted papers are expected to comply with strict ethical standards regarding originality, authorship, and conflict of interest. Plagiarism is strictly prohibited and checked using automated tools (e.g., iThenticate).

  • Academic Integrity:

    • All papers undergo a rigorous peer-review process managed through the EDAS platform. Each submission is reviewed by at least three independent reviewersto ensure a fair and thorough evaluation. Conflicts of interest are carefully managed, and reviewers are instructed to assess submissions objectively, confidentially, and in accordance with high scientific standards.

  • Anti-Harassment Policy (Upcoming):

    • WINCOM is in the process of finalizing a formal anti-harassment policy in alignment with best practices from leading scientific associations. Until then, we abide by general professional conduct rules and ensure a respectful and safe environment for all participants.
